Trust and administration

An assistant for internal documents has to behave like a colleague. Its discretion included.

Good answers are half the story. The other half: secure access, clear data boundaries, auditable usage and administration your own people can do. DocumentChat was built for that from the first line.

Data boundaries

Your documents stay yours

The whole system runs inside your organisation's own cloud environment, the AI models included. Documents and the questions asked do not leave that environment and are not used to train third-party models.

That makes DocumentChat fundamentally different from uploading documents to a public AI service: the data boundaries your organisation already applies simply keep applying.

  • Access

Sign in through your own organisation

Users sign in with their existing organisation account via single sign-on (Microsoft Entra ID). No separate passwords: whoever leaves the organisation loses access automatically. Inside the application you decide per role who asks questions, who administers and who changes settings.

  • Privacy

    Personal data masked

For administration and improvement, a record is kept of which questions are asked and how the system performs. Recognised personal data in those log files is masked, so that seeing the usage does not mean anyone can read along with who asked what.

  • Cost

A grip on usage and cost

AI usage costs money per question. Administrators see the usage and the cost estimate per period, and limits keep a script or a mistake from running up the bill. Heavy operations ask the user to confirm first.

  • Reliability

    Built to run in production

DocumentChat is not a demo but a production system: it runs on Azure, it is monitored, and it has a suite of over a thousand automated tests that check its behaviour on every change. Deviations can be diagnosed through built-in diagnostic screens.

Administration

Managing it without a developer

Everything that needs regular attention can be done from admin screens: documents and how they map to categories, who has access, how the assistant behaves and which themes exist. Changes take effect immediately, without a developer in the loop.

The document processing has an admin environment of its own, with a dashboard, quality scores per document and the option to follow step by step what happened to a document.
